What we collect
- Account data. Owner and manager names, email addresses and company details.
- Patrol data. Shifts, checkpoint scans with times and answers, check-ins, post-order confirmations, reports, notes and photos your guards record.
- Guard records. Guard names and phone numbers, and the license, certification and training records your company adds, with their expiry dates.
- Client contacts and site maps. The email addresses your company adds to receive client reports, and any floor plan or site map you upload.
- Guard location. We record location only at shift start, shift end and each checkpoint scan, and only if the guard allows it. There is no tracking in between or off shift. Guards see a notice in the app that explains this.
- Billing data. Handled by Polar, our merchant of record. We do not see or store card numbers.
How we use it
We use your data to run the service: record patrols, send alerts and reminders, build and email your daily client reports and monthly summaries, and bill your account. We do not sell your data. We do not use your data, photos or reports to train AI models.
AI writer
The AI writer is optional. When a guard taps “Write it up for me”, we send only the guard's note and the report context (report type, category, severity, site name, local time, checkpoint name and the report's fields) to Anthropic's API to draft the text. We do not send guard phone numbers, email addresses or billing data. Under Anthropic's commercial terms, Anthropic may not train models on this content. The guard reads the draft and chooses to use it or keep their own words. A report written this way is marked, and it keeps the guard's original note.
Your data is yours
You can export all your data at any time from your dashboard. You can ask us to delete your account and its data by email, and we will do it. Backups may keep copies for a short time before they are removed.
Who processes data for us
- Vercel for hosting.
- Neon for our database.
- Resend for email, including daily reports and alerts.
- Anthropic for the optional AI writer, which drafts report text from the guard's note and report context.
- Polar for payments, as merchant of record. Polar sells the subscription to you and handles sales tax.
Security
Each company's data is kept separate from other companies' data. Access is limited by role. Data is encrypted in transit. A client link, if your company creates one, shows that site's reports to anyone who has the link until your company turns it off.
